ORAL PRESENTERS

A Virtual Speaker Preparation Room will be open one month before the opening of the Summit in order to allow Oral Presenters to upload their presentations before Ecocity 2011. You will soon receive all the guidelines by email.

Please note that there is no official template to use for PowerPoint presentations, and you have to make sure that your presentation fits into the presentation duration time that was notified to you previously.

If you present an individual presentation of 20 minutes that means your presentation is part of a 90 minutes session created by combining proposals treating similar themes. The format for such presentation is a as you want but make sure that you fit in a 15 minutes timeframe and the 5 remaining minutes will be given to a questions period.

If you present in a 7-minute format, that means that your presentation is part of a "Fun, fast and passionate" session. The recommended format for such presentation is 21 slides, automatically timed, that fits in the 7-minute timeframe. This format requires a well-conceived presentation, good visuals and a great deal of rehearsal.

The Speaker Preparation Room will also be set on-site and opened for the duration of the Summit. All Oral Presenters are required to report to the Speaker Preparation Room with their material (if it is not already uploaded), upon their arrival, or at least 24 hours prior to their presentation in order to meet with the Summit technical and coordination staff concerning their exact role and the technical support needed. Presenters will be able to proceed with technical verifications of their presentations, review their content, verify the time, date and room for their presentation, and receive from the Ecocity 2011 staff any last-minute information.

Note that sessions moderators are also asked to report to the Speaker Preparation Room upon their arrival, or at least 24 hours prior to the presentation in order to receive some specifics guidelines.

All presentations will be uploaded from the Speaker Preparation Room to each relevant meeting room. Each meeting room is staffed by a professional technician who will take care of all technical aspects of the presentation. The use of personal laptops cannot be accepted in order to guarantee a smooth operation.

Each meeting room is equipped with all necessary audio and projection equipments (screen, data and video projector, computer with Powerpoint, lectern, microphones, etc.). If you have any special needs, please indicate it to us by email at program@ecocity2011.com.

POSTER PRESENTERS

Schedule

Posters will be displayed from August 22 to 25 in the Exhibition Hall. Please note that participants will be invited to visit the posters particularly during the breaks (see the Program on the web site for the hours).

Authors are not expected to remain near their poster during the entire opening hours but are encouraged to be there during coffee and lunch breaks where the Exhibition Hall is anticipated to be at its busiest.

Set-Up:

Tuesday, August 23rd to Thursday, August 25th

Guidelines for posters

1. The maximum dimensions of posters are 1.016 m (40 in.) high by 1.46 m (57 in.) wide. The posters have to fit on the provided display boards (see attached sketch next page) which have a surface made of soft material to accept male Velcro tape. A supply of Velcro tape will be available for your use during set-up.

2. Written text should be legible from 2 m (6 ft.) distance. The title of the poster should be at the top of the board with a character size of at least 5 cm (2 in.) high.

3. Posters should cover the key points of your presentation. Remember that posters are visual presentations of information. Rely on graphs, charts, tables and pictures to communicate information rather than text. The ideal poster should draw attention, inform, and stimulate discussion.

4. The Summit official language is English and therefore posters must be in English.

5. Posters cannot be sent in advance. They must be brought by their presenters, who are responsible for setting up and removing their material. Any material left will be discarded at the end of the Summit.

6. Poster numbers will be assigned during set-up.
